The Front Office Assistant shall help maintain an efficient office environment by providing administrative and clerical support to the Sutter-Yuba Program Directors and program staff.  The Front Office Assistant reports to the Sutter-Yuba Quality Program Manager.
Provide administrative and clerical support to Program Directors and program staff, Greet public and clients and direct them to the correct staff member and location. Make people feel welcomed with a friendly atmosphere, Schedule vehicle reservations and help maintain company vehicles. Create name badges for employees when applicable. Help to maintain safety of staff in building by knowing protocols and are responsible for safety drills. Maintain discretion with confidential information in compliance with HIPAA. Maintain petty cash and related documentation to send to accounting. Answer, screen and direct calls as needed. Deal with queries from the public and clients. Take and distribute messages. Keep office and lobby area clean and tidy. Ensure knowledge of staff movements in and out of building. Receive, sort and distribute office mail. Fax, scan and copy documents in support of staff. Schedule and maintain room reservations in support of staff. Maintain office filing and storage systems. Assist Program managers as requested to contact and work with service providers such as phone company, property maintenance, etc. Monitor, order and maintain office and building supplies. Assist with event planning and implementation. Ensure that office equipment is properly maintained and serviced. Perform work related errands such as going to the post office or bank. Perform other duties and special projects as assigned. Prepare and manage correspondence, reports and documents to support Program Directors. organize and coordinate meetings, conferences, and travel arrangements to support Program Directors.
  • Associates Degree in Business or related field preferred.
  • High School Diploma or Equivalent plus 1 year providing office assistant duties required.
  • Knowledge of administrative and clerical procedures.
  • Demonstrate proficiency in MS Word, Excel, Outlook, and the Internet.
  • Be willing to attend classes when asked by management to increase knowledge of programs.
